Finally, put an end to unnecessary copies and missing info in the corresponding processes. The ecm4u Smart Links module enables easy reuse of content in Alfresco. The same document or directory can appear in multiple places at once by creating links. This way, documents are always in the place where employees need and expect them - without any copies. With only one document to maintain and update, redundancies are eliminated, ensuring that documents (e.g., price lists, product sheets, documentation) are always up-to-date across the organization. Smart links are identified in Alfresco Share by an additional icon.
Using the "Organize" action, the user simply selects the directories in which the document or directory should additionally appear. If the original or the SmartLink is deleted via the Share interface, the user receives a notice and can decide what should be removed. Assuming the appropriate authorization, the "Organize" dialog can be called from both the original and the target document.
Key Facts:
- No more redundancies for documents and directories.
- Updates are immediately active in all locations
- Transparent support for all Alfresco protocols such as CIFS, FTP, IMAP, WebDAV. Users see "real" documents and directories.
- Documents can be referenced from other sites or from the repository (rights assumed).
- Rights are managed centrally via the original document.
- Smart Links are marked via a corresponding additional icon in Alfresco Share, so that every user recognizes that it is a centrally managed item.
- Smart links can also be created automatically via Java scripts or rules.
