Alfresco does not provide support for filing automation out of the box. The ecm4u Filing module closes this gap by providing a simple to use configuration to define a unified filing plan. This filing plan can be defined completely without programming knowledge.
The user's individual filing expectations can be taken into account by filing a document in multiple, different locations. Since multiple filing is implemented using Alfresco's association mechanism, disadvantages by real copies, such as increased memory requirements and different document versions, could be avoided.
Functionality
Different storage rules are defined in the storage plan. These rules can apply to different combinations of type, aspects and properties of a document. Each rule defines a primary storage path for the document. In addition, other optional storage paths can be defined. Virtual copies are stored in these optional directories (also supported by ecm4u's Smart Links module).
All paths can be either statically defined or dynamically built using placeholders. This way, uniform filing structures are created purely based on the metadata of a document. If a part of the filing path is required in several rules or filing paths, it can be extracted as a segment and reused. With the help of these segments, properties can optionally also be set on the associated directories.
Several options are available as placeholders:
- Document properties: insert a specific property of the document.
- Segments: reference a self-configured part of a filing path.
- Scripts: Inserting the return value of a JavaScript script.
- External: When using the ecm4u smart-bcs platform, data from external systems can be inserted/referenced.
Integration of other modules
- Folder Cover Templates: A filing rule can also define folder cover templates at folders, which are automatically activated by setting a corresponding property. This makes the filing even clearer for the user!
- smart-bcs platform: When using the ecm4u smart-bcs platform, data from external systems can be used as placeholders in the filing paths without scripting. Thus, the storage is not only based on existing metadata in Alfresco, but data from all linked, external systems!

License
The license allows installation on a production Alfresco repository with up to 2,000 registered users, a standby, test and development system.
Maintenance and Support
The purchase price includes one year of software maintenance (updates) and support on the module via ecm4u support. After one year, 20% of the list price per year will be charged.
